Phone Calls and SMS

Deskmantle includes a full business phone system. Make and receive calls, send text messages, and let the AI receptionist handle calls when you are busy — all from the same platform where you manage your CRM.

Setting Up Your Phone Number

  1. Go to Settings > Phone.
  2. Click Get a Number. Choose a local or toll-free number in your country.
  3. Set your caller ID name and voicemail greeting.
  4. Configure business hours — calls outside these hours go to the AI receptionist or voicemail.

Making Calls

  1. Click the phone icon on any client record, or use the dialer in the top toolbar.
  2. The call connects through your browser — no separate app needed.
  3. During the call, you can take notes in the side panel. Desk transcribes the call in real time.
  4. After the call ends, Desk generates a summary with action items and saves it to the client timeline.

AI Receptionist

The AI receptionist answers calls when you are unavailable, after hours, or when all lines are busy.

  • It greets callers by name if they are in your CRM.
  • It can answer common questions using your business information.
  • It captures caller details and creates a task or notification for you.
  • It can transfer to a team member if the caller requests it.
  • Configure the receptionist personality and script in Settings > Phone > AI Receptionist.

Two-Way SMS

  1. Open any client record and click the SMS tab.
  2. Type your message and click Send.
  3. Replies from the client appear in the same thread.
  4. You can also send SMS from the Desk chat panel: "Send a text to John saying I will be 10 minutes late."
Pro tip: Enable Auto-reply SMS in phone settings to have Desk respond to texts when you are on a call or outside business hours.

Call Transcripts

Every call is transcribed using AI speech-to-text. Transcripts are searchable, so you can find any conversation by keyword. Ask Desk "What did John say about the budget in our last call?" and it will pull the relevant excerpt.
