Email Integration

Deskmantle's unified inbox brings all your business email into one place with AI-powered features that save hours every week. Connect Gmail or Outlook and manage all client communication without switching apps.

Connecting Your Email

  1. Navigate to Settings > Integrations > Email.
  2. Click Connect Gmail or Connect Outlook.
  3. Complete the OAuth authorization. Deskmantle syncs read, sent, and draft folders.
  4. Choose sync depth: Last 30 days, Last 90 days, or All mail.
  5. Enable Auto-associate to link emails to matching client records automatically.

The Unified Inbox

Click Inbox in the left sidebar. Features include:

  • Smart categorization — Desk automatically labels emails as Action Required, FYI, or Low Priority.
  • Client context — when you open an email, the right panel shows the sender's client record, deal history, and recent interactions.
  • AI reply suggestions — Desk proposes two or three replies for each email. Click one to use it as-is or edit it.
  • Snooze — temporarily remove an email from your inbox and have it reappear at a specified time.
  • Internal notes — add notes visible only to your team alongside any email thread.

Email Templates

  1. Go to Inbox > Templates.
  2. Click + New Template.
  3. Write your template using merge fields like {{client.name}}, {{deal.value}}, {{user.name}}.
  4. Save and categorize the template (follow-up, introduction, proposal, etc.).
  5. When composing an email, click the Templates button to insert one.
Pro tip: Ask Desk to create templates for you. Say "Create an email template for following up after a discovery call" and Desk writes one using your brand voice.

Email Tracking

Deskmantle tracks opens and clicks on emails you send. Open tracking is on by default. You will see a small eye icon on sent emails indicating whether they have been opened and how many times.
