Building Automations
Automations let you eliminate repetitive work by defining triggers, conditions, and actions. When something happens (trigger), if certain conditions are met, Deskmantle performs an action automatically.
Anatomy of an Automation
- Trigger — the event that starts the automation. Examples: new client created, deal moves to a stage, email received, form submitted, task overdue.
- Conditions (optional) — filters that must be true for the action to execute. Examples: client industry is "SaaS," deal value is over $5,000.
- Action — what happens. Examples: send an email, create a task, update a field, notify a team member, move a deal, add a tag.
Creating an Automation
- Navigate to Automations in the left sidebar and click + New Automation.
- Name your automation (e.g., "Welcome Email on New Client").
- Select a trigger from the dropdown.
- Add conditions if needed (click "Add Condition").
- Add one or more actions. Actions execute in sequence.
- Click Activate.

- Deal created / stage changed / closed won / closed lost
- Email received / sent / opened
- Form submitted
- Task created / completed / overdue
- Invoice sent / paid / overdue
- Calendar event created
- Custom object record created / updated
Available Actions
- Send email (using a template)
- Send SMS
- Create task
- Update client/deal/custom object fields
- Add or remove tags
- Move deal to a stage
- Notify a team member (in-app, email, or SMS)

- Call a webhook (for integrations with external tools)
Automation Templates
Deskmantle includes pre-built templates for common workflows:
- Welcome email when a new client signs up
- Follow-up task when a deal has been in a stage for more than 7 days
- Notification when a high-value deal is created
- Auto-assign leads based on industry or location
- Payment reminder when an invoice is overdue
Pro tip: Chain multiple actions together to create powerful workflows. For example: when a deal is closed won, send a congratulations email to the client, create an onboarding task for the team, and generate the first invoice — all automatically.
